The Director’s Office at the University of Connecticut-Hartford is seeking a full-time Administrative Services Assistant 3 (UCP 4).  Under the direction of the Associate Campus Director, this position assists in managing a number of administrative functions in the Director’s Office. The person will have independent decision-making skills, the ability to exercise sound judgment and to resolve administrative problems in a complex operation.

DUTIES AND RESPONSIBILITIES:

1. Supports the Associate Campus Director’s efforts to advance UConn Hartford’s community engagement and collaboration mission. In particular, collects and maintains an inventory of community partners; arranges and coordinates meetings between campus staff, faculty, students and community organizations.

2. Supports the Assistant Campus Director’s efforts to advance UConn Hartford’s community diversity and inclusion mission. In particular, arranges and coordinates diversity and equity trainings for campus staff, faculty, students and community organizations.

3. Performs office management duties; directs the workflow and supervises the processing and filing of administrative and personnel paperwork; reviews paperwork for accuracy and adherence to the Campus Director’s Office and University of Connecticut policies and procedures. 

4. Welcomes visitors into Director’s Suite reception area.

5. Independently composes, prepares and/or edits standard correspondence/ reports containing information that requires thorough knowledge of policies, procedures and data sources. 

6. Transmits authoritative information and serves as a resource to administrators, students, staff and others regarding policies and procedures governing the Campus Director’s Office and the Hartford Campus.

7. Within established practice, handles administrative matters for Associate Director and Assistant Director and has authority to sign specific correspondence, requisitions, vouchers and other standard forms, and makes decisions in supervisor's absence. 

8. Compiles and analyzes UConn Hartford undergraduate and other program data.  Presents data in presentation format.

9. Monitors and reviews personnel actions for accuracy and compliance with appropriate policies and procedures including performance evaluations.

10. Responsible for scheduling meetings, conferences, travel arrangements, and reimbursements for the Director’s Office.

11. Maintains a strict calendar for specified administrators, screens incoming mail and telephone calls, and makes referrals as appropriate. 

12. Represents Director’s Office as needed, to other University offices, public or outside organizations to gather or transmit information that affects the operations of the Campus Director’s Office and Campus, including the Foundation and Alumni Association. 

13. Responsible for special short term projects that require planning, coordination and supervision. 

14. Responsible for administrative supports for UConn Hartford Search Committees, including liaising with Human Resources, electronic record keeping, correspondence and coordination of candidate campus visits.

15. Facilitates and plans events as needed by the Director’s Office and Campus. 

16. May monitor some budgetary expenses.

17. May supervise student workers and their schedules.

18. Performs related duties as required.

MINIMUM QUALIFICATIONS

1. Bachelor’s degree or equivalent combination of education and experience including 4-8 years’ experience in a progressively responsible administrative support position

2. Organizational and supervisor ability

3. Experience with data collection, input and analysis in Excel

4. Excellent interpersonal, communication skills and the ability to relate well to faculty, staff and students

5. Ability to resolve administrative problems efficiently, effectively and independently

6. Experience and interest in working with diverse communities within an urban campus setting. 

7. Proficiency in MS Office 

 

PREFERRED QUALIFICATIONS

1. Proficiency in one or more languages other than English.
